Platform · Staff records

Staff records that keep planning connected.

Maintain staff details, unit membership, contractual terms and documents in one place. These records support rostering, requests, attendance and payroll preparation.

Units

Organise control rooms, units and teams.

Build the structure of your organisation, from control rooms to teams. Give each unit its timezone, code, contacts, head of unit and secondary head. Use non-operational units for administrative groups.

Filter by unit to focus rosters, schedulers, qualification views and staff lists on the relevant team.

Apply unit terms and individual exceptions.

Unit contracts

Set leave allowances, carry-over, monthly request caps, publication notice and overtime and absence limits. Updates flow to the relevant sub-units and staff.

Protected and individual terms

A read-only unit contract prevents parent updates from replacing that unit’s terms. Individual employees can have custom terms where their agreement differs from the unit default.

Calendar settings

The calendar your unit works to.

Public holidays

Assign holiday calendars by unit, including different calendars for a multi-country organisation.

Bridge days

Record additional days off around holidays. Bridge days retain their regular-working-day treatment in leave and allowance calculations.

Keep employee details and documents together.

Keep personal details, terms, address, photo and files with the employee record. Use the job number to find people and connect their HR and payroll records.

Documents are grouped as Personal, Managerial, Qualification, Leave and Duty. Supported files can be uploaded from desktop or mobile, subject to the 15 MB limit and permitted formats.

Document content is encrypted in storage, and download permissions are checked against the associated employee. Sensitive personal fields have additional access controls. Review the data-protection details, including encryption and retention scope, for your deployment.

Governance

Control publication and review recorded changes.

Units can restrict roster publication to the head of unit and configure a feasibility check at publication. See strategic rostering.

Recorded contract, unit and employee changes include the acting user, time and before-and-after values where captured. Customer-facing views require Audit & History. History may retain previous personal values, so access and retention need to be included in the deployment review.
