Platform · Leave and duty requests

Approved requests. An updated roster.

Route leave, duty and work requests through your approval process. Approved changes update the roster and the relevant attendance and allowance records.

Approval workflow

Set the approval route for each request type.

Types and units

Leave and duty types can have separate operational and non-operational approval chains. Work, off and shift-extension requests use unit settings. Swaps add their own eligibility checks.

Eligible approvers

Set who can act at each step. Eligibility follows the current organisation structure. One eligible response completes that step.

Request status

A request stays Pending until the required steps are complete. An approver’s rejection stops the process. An empty chain allows automatic approval.

Edits and delegation

Change an approved request with a fresh manager confirmation. The original history stays intact. Authorised managers can force approval when filing for someone else.

Track replacement-allowance balances.

Granted allowance

Earned from configured overtime duties, work requests, shift extensions and public-holiday shifts.

Meeting allowance

Earned from duty types configured for meeting allowance.

Instructor allowance

Earned from shifts with an instructor assignment.

Annual rest allowance

Granted as an annual entitlement.

Leave types determine which pool they deduct from. Grants are consumed in expiry order. Cancelling leave refunds the amount it consumed; a grant already used cannot be revoked. Earning rates and validity periods are configurable.

Vacation Score

Review competing leave requests with Vacation Score.

When leave requests compete for the same dates, Vacation Score gives supervisors a shared reference. Approved leave earns points from configured periods and overrides, adjusted for the part of the day taken.

The score is visible on the employee dashboard and can be used to sort the Team Scheduler. Reducing an approved leave period does not remove points already earned. Scores reset annually, with a bonus for unused leave under the configured process.

Requests beside the schedule.

Review shifts and requests together, filtered by unit or qualification. Search by name or job number and act on a request in context. Decisions made elsewhere appear as the scheduler refreshes.

Leave descriptions and contact details are hidden from non-managers viewing a colleague’s record; the leave type remains visible. Manager-only request types can be submitted by an authorised manager on the employee’s behalf.

Documents

The paperwork stays with the request.

A leave or duty type can require a document at submission, or a specific approval step can require one before progressing. Supported uploads include PDF, Word, JPG and PNG, up to 15 MB.

A rejected document can return the request for a replacement upload. Depending on the action selected, review restarts from the first step or resumes at the current step. Daily reminders support requests awaiting documents.
