From proposal to published change.

Select shifts

Employees choose the shifts to exchange. Team leads can propose a swap for two people.

Check eligibility

The system checks the exchange before submission and shows the identified violations together.

Review and approve

The shifts stay locked while the request is pending. Approval and personal-consent steps follow the roster’s unit settings.

Update the roster

Approval exchanges the shifts and transfers associated work requests, shift extensions and relevant hours accounting. Pending or rejected requests can be reverted to release the locks.

Eligibility

Check the proposed exchange.

Roster structure

Check compatible blocks in the same roster, aligned dates and lengths, pending swaps and supported shift types.

Eligibility

Check qualification, team and unit membership, suspensions and employee classification.

Rest and activity

Check minimum rest around the exchanged shifts and conflicts with approved leave, duty and relevant pending requests.

Hours and allowances

Check available Bank of Working Hours, net overtime changes, monthly request limits and allowances already consumed.

The creation workflow includes 24 checks. Candidate suggestions, submission and acceptance provide separate validation points because the roster or employee circumstances may change while a request is being reviewed.

The hours follow the shift.

Bank of Working Hours and overtime accounting move with the assignment. For an exchange of several shifts, the checks consider their combined effect on balances and limits.

Controller and non-controller classifications use different accounting rules and cannot be mixed in one swap. The receiving employee must have the required balance and overtime capacity.
