Workflow · Monthly roster

A month takes shape.

Set staffing demand and qualification requirements. Build the draft against your scheduling rules, review assignments and publish the roster. Keep the plan current as the month unfolds.

Stage 1 · Demand

Start with demand.

Set minimum and maximum staffing by date, shift and qualification. Use a sequence, weekday demand or a repeating pattern. Add dated adjustments where the usual plan changes.

Required and optional slots remain visible in the demand view. See strategic rostering.

Stage 2 · Draft

Create a draft or continue a published roster.

Choose the unit, dates, people, rotation and rules. Or continue from a published roster, carrying its resourcing and constraints into the next period.

Choose a working roster or a preventive on-call pool according to the planning task.

Stage 3 · Solve

Generate the first draft.

The engine builds a first arrangement, then searches for improvements. It runs in the background, within the time budget and stopping conditions you configure.

Each run can return different assignments and scores. Feasibility depends on the staff, demand and rules. Read how the engine works.

Stage 4 · Review

Review and adjust assignments.

Look by person or by position. Change assignments. Lock the decisions to keep. Flexible pattern slots become specific shifts using the configured priorities.

Pair trainees or support staff with instructors. This remains a manual decision, supported by eligibility checks.

Stage 5 · Check

Check the draft before publication.

Check Solution evaluates applicable rules without moving assignments. Review hard violations, unassigned shifts and soft preferences after generation and manual edits.

Some structural solver rules are excluded from the report, and requirements not represented in the active configuration are not checked.

Stage 6 · Publish

Publish with the right approval.

Override or Minor

An Override retains the current version number; Minor increases it by one. Both require the relevant publication permission.

Major

Advances the version to the next multiple of ten. A unit can require head-of-unit approval for a Major publication.

Publish the baseline. It becomes the schedule staff see.

Stage 7 · Manage changes

Manage requests against the published roster.

Approved leave, duty, swaps and work requests update the baseline through their workflows. Supervisors use the published shifts for daily position allocation.

Recorded shift history is available through Audit & History, subject to its coverage and integrity limits. The organisation retains responsibility for its policy and publication decisions.
